Overview
Hermias le Roux Clinical Psychologist is the responsible party for personal information collected for the practice. Information is processed only where there is a lawful and appropriate reason to do so, including arranging consultations, delivering professional services, administering the practice and meeting legal or professional obligations.
This website is not monitored for emergencies. If you or someone else is in immediate danger, call 112 or go to the nearest emergency unit.
Information collected
Depending on how you use the website or booking system, the practice may collect:
- Your name, contact details and appointment preferences.
- Date of birth and information relevant to age or consent.
- Medical-aid membership details where supplied for claims or administration.
- Responses you choose to provide when arranging a consultation.
- Messages sent by WhatsApp or email.
- Basic technical information such as browser, device, IP address and website usage data.
Please avoid sending detailed or highly sensitive clinical information through ordinary email or WhatsApp unless this has been specifically requested.
How it is used
Personal information may be used to:
- Arrange, confirm, change or cancel consultations.
- Communicate practical information and respond to enquiries.
- Prepare intake, billing and medical-aid administration.
- Maintain professional and clinical records where a therapeutic relationship begins.
- Protect the security and operation of the website and booking process.
- Comply with applicable law, ethical duties and professional requirements.
Service providers
The website and practice use selected providers to support booking, communication, hosting and website measurement. These may include Calendly for appointment scheduling, WhatsApp/Meta for messaging, Apple iCloud for email, Google services for website analytics or tag management, and the website hosting provider.
These providers process information under their own privacy terms and may store or process information outside South Africa. Only information reasonably necessary for the relevant service is shared. Medical-aid administrators may also receive information where you ask the practice to submit claims on your behalf.
Clinical records, security & retention
Once professional services begin, clinical information is handled as confidential professional information and is subject to applicable ethical, professional and legal requirements. Website and booking information is not a substitute for the fuller consent and privacy information discussed at the start of therapy.
Reasonable technical and organisational safeguards are used to protect personal information. No online system can be guaranteed completely secure. Information is retained only for as long as reasonably necessary for the purpose for which it was collected, or for the periods required by law and professional record-keeping duties.
Adolescents
Services may be provided to adolescents from 15. Where a person is under 18, consent and information-sharing arrangements are handled according to the circumstances and applicable legal and professional requirements.
Your rights
Subject to the Protection of Personal Information Act, you may ask what personal information the practice holds about you, request access or correction, object to certain processing, or ask for deletion where the practice is not legally or professionally required to retain it.
You may also raise a concern with the Information Regulator of South Africa.
